Captioning with the desktop application

You can use the Caption.Ed desktop application to caption any live or pre-recorded media on your computer. Here's how you can get started.

Step 1: Download and install the Caption.Ed desktop application from our downloads centre here.

Step 2: Once installed, you'll need to log in with your Caption.Ed account details. 

If you haven't created an account yet, or aren't sure what your details are, head here: Setting Up Your Account

Step 3: Once logged in, click "Start a new session" to create a new captioning session.

Step 4: Here it will first ask you if you'd like to record your screen for the session. 

If you click yes, a screen recording of your chosen window will be attached to this session in the library. This is great if you're captioning a lecture, video or virtual meeting. If you choose not to record your screen, an audio-only recording of your captioned media will still be attached to your session.


Step 5: You'll then be asked which audio you'd like to record. 

  • Computer: This is great if you only want to caption media coming from your computer; such as a YouTube video.
  • Microphone: This is ideal if you want to transcribe an in-person meeting, but don't want your computer audio to be included in the captions. 
  • Computer + Mic: This is recommended if you want to caption both your computer and microphone audio; such a virtual meeting.

Step 6: Here you can also select the Subject or Language of the captions. There are a number of different languages to choose from, as well as a selection of custom English dictionaries that focus on specialist subjects. In the below example, we'll be captioning an educational medical video, so we've selected "Health and Life Sciences" as our subject.


Step 7: Once you're happy with everything, select "Start Session". 

The captioning window will then load up and begin transcribing anything coming through your chosen audio.


By default, the left-hand side of the captioning window will display the captions, whilst the right-hand side of the window will be dedicated for your notes. If you just wanted the captions to appear, you can use the "Workspace" icon in the top left to adjust to your liking. 


Once you're done with the session, select the "End Session" button in the top left. You can then name and save the session to your account.
