Caption.Ed Notes is a fantastic new tool to help you make the most of your lectures, meetings, and more. In this article we'll cover how to set your account up and get started with note taking!
Creating your account
There are a few ways you can get started with a Caption.Ed Notes account:
Creating your own personal account
If you're an individual user, you click here to sign up and choose your Caption.Ed plan. Once you've registered your new account, you should be good to go.
From your school, university, or workplace
Your organisation or institution may have purchased a Caption.Ed site license. If this is the case, then you should have received an email detailing how to activate your account. Click here to check if your organisation has purchased a site license and request access.
If your organisation has access to Caption.Ed, but you haven't received your credentials, then please speak to your organisation's accessibility officer or IT team. If you're still struggling to gain access to Caption.Ed through your organisation then please raise a support request to us, or you can email us directly at [email protected].
From the Disabled Students' Allowance or Access to Work schemes
If you're enrolled in either the Disabled Students' Allowance ("DSA") or Access to Work schemes in the UK, then you may be eligible to receive a paid-for Caption.Ed license.

Downloading the app
Once you've created your account, you'll be able to log in to your online dashboard. There won't be much there to start with, so let's download the desktop app and create a new session.
Head to "Settings" on the left-hand menu and select "Apps".
Select the version of the app you need (e.g. Mac, Windows, etc) and open the file. You'll then be guided through the installation process.

Starting a session with the desktop app
Once the installation is complete, open the Caption.Ed app and select "Start a new session".
It will first ask you if you'd like to record your screen for the session.
If you click yes, a screen recording of your chosen window will be attached to this session in the library. This is great if you're captioning a lecture, video or virtual meeting. If you choose not to record your screen, an audio-only recording of your captioned media will still be attached to your session.
You'll then be asked which audio you'd like to record.
- Computer: This is great if you only want to record media coming from your computer; such as a YouTube video.
- Microphone: This is ideal if you want to record an in-person meeting, but don't want your computer audio to be included in the captions.
- Computer + Mic: This is recommended if you want to record both your computer and microphone audio; such a virtual meeting.
Once you're happy with everything, select "Start Session".
The Note Taking window will then load up and begin recording anything coming through your chosen audio.
You can change the look of the app by selecting the "Theme" icon. There is a Light mode, Dark mode and Sepia mode.
By default, the left-hand side of the captioning window will display a representation of the audio, whilst the right-hand side of the window will be dedicated for your notes.
If you just wanted the Notes to appear, you can use the "Workspace" icon in the top left to adjust to your liking.
Once you're done with the session, select "End Session" in the top left. You can name the session, which will then be saved to your account.
